Important Update from GES for Exhibitor Set-Up Day on Monday, October 17th
Due to circumstances beyond our control, the move-in times for the PGA Buying Show have been condensed for this year. GES will be setting up during the morning move-in hours 8am – 12pm. GES will do their best to set-up priority areas first, but this push will be limited. If you are moving-in between 8am and 12pm, please be aware that there will be delays during setup.
With this latest update, all Exhibitors that DO NOT require the loading dock apron and plan to walk their booth items in from their vehicle, we ask that you do not arrive at the venue for set-up until AFTER 2:00pm if possible. We understand that this may not work with your schedule, however, we are trying to prevent delays for everyone during the move-in process.
Book Your Move in Time
If you require the loading dock apron, please ensure you book a time ASAP using the Voyage Control System. Please refer to the previous email sent to you for this to book your time.

EXHIBITOR SET-UP DAY - VOYAGE CONTROL SYSTEM - MONDAY, OCTOBER 17th
The Calgary Stampede BMO Centre Voyage Control System has been implemented for Set-Up Day at the PGA Buying Show on Monday, October 17th. The Voyage Control is to help with streamline the move-in process and reduce waiting times. Exhibitors have been segmented into different groups based on booth size and will be able to move into the Show at designated times.
An email has been sent to your Show contact (the person who registered for the Buying Show) on which User Group your company has been placed in, and how to book a move-in time on the voyage control system. If your company did not receive this communication, please contact [email protected] immediately.
YOU MUST BOOK YOUR SPECIFIC TIME WITHIN THE BOOKING DATE/TIME IN ORDER TO GAIN ACCESS TO THE BMO LOADING DOCK APRON. If you do not need access to the BMO Loading Dock Apron and can walk your items in from your parked vehicle, then you do not need to complete a booking.
Please ensure you book a time ASAP using the booking link provided in the email. Bookings are given on a first-come, first serve basis.

Our members regularly use this document to find contact info on suppliers that support the Association. This is an exclusive document which only Exhibitors, PGA Members,and Industry Professionals have access to.

COMPLIMENTARY FOOD & BEVERAGE DURING THE SHOW
In 2022, Gordon Food Service will be providing complimentary food and beverage options for all Exhibitors and Attendees for the entire 3-days of the Buying Show located in the 19th Hole (centre of the floor plan)! This will help your company save costs as well as gives you a chance to try their food and re-energize yourself at the Show.

GES is the official service partner for the PGA of Alberta Buying Show 2022.
Their goal is to provide you with the best possible service and to ensure that your participation in the event is a success. If at any time during the planning process you have questions or need advice, just ask them, they are here to help! In preparation for the event, here are a few useful tips like we’d like to share with you:
- Be sure to review this Exhibitor Services Manual carefully as it contains valuable information on Advance Pricing as well as the many services being offered by GES.
- Ordering online is the best way to save money - UP TO 25%! Do so by the Advance Price deadline to ensure you receive the best rates available.
- On-Site pricing is applicable to all orders received beginning on the first day of move-in through to the completion of the event.
- Full payment is required at time of order. Please complete & return the enclosed "Credit Card Authorization Form ".
- GES accepts VISA, MasterCard, American Express, Debit, EFTs/Wire Transfers and cheques as methods of payment.
- Exhibitors are required to pay 5% G.S.T. on all items when exhibiting in Alberta.

- 6’ Table (black and white skirted)

Pricing Information:
> Advance Price: Monday, October 3, 2022 - To take advantage of the Advance Price, all completed forms and full payment must be received on or before this date.
> Standard Price: Show Start Date - The Standard Price will be charged after the Advance Price Deadline Date has passed and up until the first day of event move-in.
> On-Site Price: Monday, October 17, 2022 - Orders received on the first day of event move-in through to the completion of the event are subject to the On-Site Price which begins on the date indicated.

CALGARY STAMPEDE EXHIBITOR SERVICES ORDER FORMS (Power, Lighting, Banner/Sign Hanging, etc.)
The Centre at Stampede Park is proud to be the exclusive provider of all electrical, sign/banner hanging, internet, telephone services, plumbing, natural gas, food and beverage and parking services on Stampede Park.
Please complete the form and return, along with the relevant order pages, no later than 14 days prior (Oct. 3rd) to the first move in day of the event (Oct. 17th) to receive the advance rate pricing, which offers a 30% discount. Orders received after the advance pricing deadline will be subject to the standard pricing rates.
Placing Your Order with the BMO Centre at Stampede Park
This service is available 24 hours a day, 7 days a week. For orders placed online, the manual processing fee of $25.00 does not apply.
Payment is secure and you will receive instant confirmation that your order has been received. Upon receipt of your order, an exhibitor services consultant will communicate the requirements to the appropriate teams for execution. Prior to your arrival, the exhibitor concierge will verify that you order is set to be fulfilled.

ACCESS TO PRIVATE NETWORKING EVENTS
Opening Welcome Breakfast (Day 1) - Tuesday, Oct. 18th @ 8:00am
We will be hosting a complimentary Grand Opening Breakfast sponsored by Gordon Food Service, Impact Canopy Canada, Sundog Eyewear/Tour Tee & Jancor Agencies. The event will be held on Tuesday, October 18th located in the foyer space at the BMO Centre just outside of the Show floor. This is a complimentary event and all Exhibitors and Attendees are encouraged to attend. The event begins at 8:00am, 1-hour before the Show officially opens at 9:00am, and will run to 9:30am.

Hotel Arts Cocktail Reception (Day 1) - Tuesday, Oct. 18th @ 5:00pm
This is a complimentary Cocktail Reception sponsored by Tribal, Gordon Food Service, Hotel Arts, Triple Bogey Brewing Co. & G&G Brands, will be held after Day 1 of the Show at Hotel Arts in Calgary (119 12 Ave SW, Calgary) which is a 10-minute walk from the BMO Centre! This is a complimentary event featuring beverages and appetizers and all Exhibitors and Attendees are encouraged to attend.

PGA of Alberta Awards Banquet & Cocktail Reception (Day 2) – Wednesday, Oct. 19th @ 5:00pm
All Attendees & Exhibitors of the Buying Show are encouraged to join us for an evening of recognition and celebration after Day 2 of the Show on October 19th for the Awards Banquet & Cocktail Reception sponsored by Gordon Food Service, BPG & Levelwear. The evening will kickoff with cocktails & appetizers at 5:00pm and will be followed by the Awards Banquet at 5:40pm, held in the Palomino Room at the BMO Centre (located right beside Hall D). This is a complimentary event and all Exhibitors and Attendees are encouraged to attend.

Dress code is business attire (Jeans, cut-offs, track suits, shorts, hats, etc., are NOT permitted at the Show). Dress Code is in effect at all times during Show hours.
PARKING 
Parking will be complimentary for all Exhibitors and Attendees. NO parking permit/pass is required.

WIRELESS INTERNET 
Wireless Internet will be COMPLIMENTARY for all Exhibitors and Attendees. Wifi access code will be given at the Show.
TERMINATION
The contract may be terminated through written notice sent to the PGA of Alberta at least 30 days before the Buying Show is held. A sum of $200.00 will be retained to cover administrative fees. The balance will be reimbursed to the exhibitor. Should cancellation come less than 30 days before the show, the exhibitor must assume all costs related to their involvement in the show, including registration.
EXHIBITOR LIABILITIES
The PGA of Alberta Buying Show will not be responsible for any products and/or services sold or offered by the Vendor. The PGA of Alberta Buying Show will not assume any responsibility for losses or injuries to property or persons, which might be incurred from pilfering, water damage, fire, accident, or any other cause. The exhibitor is liable for the damage and deterioration caused to the building, the booth, and the merchandise and goods of other exhibitors.
All Vendors must have commercial general liability insurance of TWO MILLION DOLLARS, and are required to submit an insurance certificate or certified copy of the policy. This certificate must identify ‘PGA of Alberta’ as additional named insured, but only with respect to your business operations during the PGA of Alberta Buying Show.
The Vendor shall indemnify The PGA of Alberta and its Directors, Officers and Employees, and volunteers from all losses, claims, costs and liabilities which may arise directly or indirectly, as a result of the granting of this exhibitor license. The Vendor shall be solely responsible for all acts or omissions due to or caused by any person at any time while occupying the Licensed Area.
The exhibitor agrees to respect the timetable in the show schedule. In return, the organizing committee agrees to provide access to the exhibition site as stipulated in the timetable.
